Case Study:

Gulf Coast Utility Contractors uses FM with SAGE 100 Contractor to cut errors and manual labor

“Utilizing Field Materials platform on top of Sage 100 Contractor system cut down on human error, time spent, and gave superintendents more visibility and oversight”

Background

For 25 years, Gulf Coast Utility Contractors (GCUC) has delivered best-in-class civil construction services throughout the Florida Panhandle. Originally specializing in underground utility installations— including water, sewer, and storm drainage—GCUC has evolved into a full-service site development contractor.

Their expertise now spans clearing, excavation, underground utilities, roadway construction, and more. As their operations expanded, so did the challenges of managing materials, deliveries, and invoices.

“What once required multiple steps, double entry, and chasing slips of paper in two separate filing cabinets is now managed seamlessly in one platform with a fraction of the time spent.”

The Challenge

Before implementing Field Materials, GCUC relied on Excel spreadsheets to manage material procurement. Tracking materials was time and labor intensive—delivery tickets and invoices had to be manually matched, coded, and passed between people, often leading to misplaced paperwork and delayed processing.

Accounts Payable Specialist, Stephanie Mullins, describes how she “manually built quotations in Excel along with another assistant.” They logged product deliveries, matched them to invoices, and manually entered everything into SAGE 100 Contractor. However, the excel process resulted in numerous human errors.

These mistakes caused frequent mismatches, forcing Stephanie to search through two different filing cabinets—one for invoices and another for payment status—to locate missing paperwork and verify payments.

“Field Materials virtually eliminated manual data entry and frustration over verifying paperwork, and dramatically accelerated invoice processing.”

The Solution

Field Materials automated GCUC’s procurement and material tracking, eliminating spreadsheets and reducing human error. Now, superintendents use the mobile app to scan delivery tickets directly into the platform, providing project staff instant visibility into whether materials have arrived.

Stephanie uses FM to automate receiving and matching of invoices and automate invoice entry into Sage 100 Contractor. Field Materials reduced back-and-forth communication and errors while improving efficiency.

Previously, tracking materials required two people to manually build spreadsheets and enter itemized data into SAGE 100 Contractor. What once required multiple steps, double entry, and chasing slips of paper in two separate filing cabinets is now managed seamlessly in one platform with a fraction of the time spent.

“AP processes are now at least 2x faster, and work that previously piled up at the end of the month is completed earlier.”

The Results

  • Time Savings: What used to take two people manually tracking and entering data now happens automatically, freeing up valuable time.
  • Reduced Errors: AI-driven automation ensures invoices and delivery tickets are accurately recorded and matched.
  • Increased Visibility: Superintendents, project managers, and accountants on any one of the civil engineering jobsites can now access all data pertaining to material orders, eliminating inefficiencies and miscommunication.
  • Operational Efficiency: AP processes are now at least 2x faster, and work that previously piled up at the end of the month is completed earlier.

By integrating Field Materials, GCUC dramatically improved project cost tracking accuracy and procurement process efficiency. “Field Materials virtually eliminated manual data entry and frustration over verifying paperwork, and dramatically accelerated invoice processing.”
